Registration

What are the key registration dates and deadlines?

Early-bird registration: 27 May to 26 June (17:00 CEST)
Regular registration: 27 June to 28 August (17:00 CEST)
Late registration: 29  August to 11 September

What is the VAT this year?

The UK applies a standard VAT rate of 20% to most goods and services, and the EAIE applies this local tax to the registration pricing and fees to comply with UK regulations. The prices and fees on the Pricing page are listed without VAT; VAT will be applied at the end of the registration process to your total payment. 

How can I get support for my visa?

If you require a visa to travel to the UK, we strongly recommend checking the official visa guidelines provided by GOV.UK and applying well in advance to avoid any last-minute issues. The EAIE cannot assist with the visa application process beyond issuing an official invitation letter. You can request an invitation letter after completing your conference registration. Registration for the Glasgow conference opens on 27 May.

Will the EAIE sign Erasmus+ funding forms in Glasgow?

No, unfortunately, this year’s conference is not eligible for Erasmus+ mobility funding, since the United Kingdom is currently not participating in the Erasmus+ programme (it will officially rejoin in 2027). There are limited exceptions for short activities of at least five days, but as this conference lasts four days, it does not meet the eligibility criteria for those exemptions.

Exhibition

When will I receive the Exhibitor Manual?

The Exhibitor Manual is a comprehensive resource for our exhibitors provided by EA Exhibitions. The manual contains information about the exhibition schedule, additional exhibitor services, stand set-up and tear-down, graphic design orders, freight forwarding and much more. The exhibitor manual will be available in March 2026 via the exhibitor portal, Toddoo.

How do I book a stand?

In order to exhibit at the EAIE Exhibition, you must first book a space with the EAIE, via the floor plan of the exhibitor portal, Toddoo. Once your space booking is confirmed, you can book a stand package with EA Exhibitions or opt for a Free Build design if your stand is larger than 24 m².     

Exhibitors with 36 m² of space or smaller can book a Standard Shell Scheme package or Premium package with graphics included. Please refer to the exhibitor kit for pricing and information on what is included in each package.    

Exhibitors with 24 m² of space or larger can opt for an MSD Package or a Free Build stand, i.e., they can design and build a custom stand design. Please reach out to EA Exhibitions to request a quote for the MSD package. You are also welcome to contract an external stand builder. Please contact EA Exhibitions for further information, as different rules and regulations may apply.   

Where can I view and change my booking?

Your booking can be viewed in the Exhibitor Portal under 'My Booths'. If you want to make any changes to your booking, please contact the EAIE.   

How do I register for the conference as an exhibitor?

All exhibitor representatives need to register as conference participants via our website. The number of free registrations included in the stand depends on the stand size. Please see the full list of entitlements per stand in the EAIE Exhibition Terms and Conditions. All main stand contacts will receive the registration instructions and fee waiver codes by email. Each registration is individual and needs to be completed from an individual EAIE account.  

Exhibitors representatives need to indicate their exhibitor status when completing their registration to receive an exhibitor badge and access the exhibition halls on Tuesday, September 08, from 14:00 to 17:30 to set up their stands. Participants without exhibitor badges can access the exhibition halls during the official exhibition hours.  

What are the exhibition opening hours?

  • Wednesday, 09 September 2026: 08:30–18:00 
  • Thursday, 10 September 2026: 08:30–18:00 
  • Friday 11 September 2026: 08:30–12:00 

When can I set-up my stand?

All exhibitors with an exhibitor badge can access the exhibition hall on Tuesday, 09 September, between 14:00 and 17:30 to set-up and decorate their stands. Access is given solely for stand set-up; holding meetings in the exhibition hall on Tuesday is not permitted.  

Stand constructors building Free Build stands will receive the information about the build-up schedule, access instructions and loading/unloading time slots by email. Please contact the EA Exhibition for more information.

Can I get a list of the participant’s contacts?  

We cannot share participants’ contact details due to GDPR. You can, however, find and connect with peers directly in the EAIE Conference app to build your network. 

Programme

When will the programme be launched?

The schedule at a glance will be published in March 2026, and the detailed session schedule will launch in May 2026.

How do I submit a proposal?

It is no longer possible to submit a proposal for EAIE Glasgow 2026. The sessions and workshops have been selected for the 2026 programme. The call for proposals for the 2027 conference will open in the autumn. 

What is the status of my session/workshop/poster proposal?

In early March, submitters were notified by email of the outcome (acceptance or rejection) of their proposal. It is the responsibility of the submitter to inform all speakers listed of the outcome. Submitters of accepted proposals will be asked to confirm that they accept the Conference Programme Committee’s invitation to be a part of the conference programme. Please note that, in some cases, amendments must be made as a condition of acceptance.
