Registration

Do I receive a confirmation of my registration?  

Yes, once your payment has been made by credit card on the website, you will receive a confirmation email and a receipt. If you don’t receive these emails within 12 hours, please contact the EAIE Office. A payment receipt is available on request. 

Can I still register after registration has closed?

No, we won’t accept registrations after the registration deadline

When can I confirm my travel and accommodation arrangements?

Once the event has received a sufficient number of participants the EAIE Office will contact all participants and inform them to confirm their travel and accommodation arrangements. The EAIE will do this no later than six weeks before the start of the course. 

Can I cancel my registration without costs?  

If you can no longer attend the course, you may be able to cancel your registration and claim a refund in line with our cancellation policy. Any refunds due to participation cancellation will be processed after the event. 
 
Please note that no exception will be made in the event that your visa application is declined. Obtaining a visa and all the associated costs is the sole responsibility of the participant. The EAIE cannot assist in the visa application process other than in the issue of a letter of ‘invitation to attend’. The letter of invitation is only issued once full payment has been received. 

Is there a discount if more colleagues from the same institution attend?  

No. The course fee is priced per person and unfortunately no discounts will be given for group bookings.  

Will I receive a certificate of attendance?

A certificate of attendance is available on request for those that attended the entire course. Please contact the EAIE Office with your request.

EAIE membership 

Do I have to be a member in order to attend the Academy?

No. EAIE events are open to everyone. However, EAIE members receive a significant discount on their course fee.  

How can I apply for EAIE membership to make use of the discount?  

If you can sign up for EAIE membership before registering for the Academy and immediately benefit from the fee discount. The difference in the registration fee will not be refunded if you sign up for a membership after registering for the event. 

Login and password 

I don’t know if I have a login name and password  

Please visit this page and click on ‘forgot my password’. The system will verify if you are already in our database or if you need to create a new account.  

I can’t remember my login name or password, how can I retrieve it?  

You can retrieve your login name or password here. Follow the instructions and the information will be sent to you by e-mail. If you are still experiencing difficulties please contact the EAIE Office and one of our staff members will assist you.  

Can the login and password info be used by more than one user?  

No, EAIE accounts and membership are on an individual basis and therefore all records in our database are individual records and linked to the information of one person.  

Payment

How can I pay my course fee?  

Payment is required upon registration. We accept Visa, Mastercard, American Express and some Maestro cards. All payments made to the EAIE must be in Euros (€). Payment by bank transfer is not possible for EAIE events. 

Do I have to pay VAT?

No, there is no VAT payable on the registration fee.  

How does the EAIE help with the EU staff mobility grants?

The EAIE can confirm your participation in the event and sign the documents necessary for this confirmation. The grant application lies in the sole responsibility of the participants. We advise you to contact your university as well as your national agency for Erasmus + at an early stage. Find more information about EU staff mobility grants here
