Registration

Do I receive a confirmation of my registration?

Yes. A confirmation e-mail will be sent to you automatically when your registration has been processed by the EAIE Office. Please take this confirmation with you to the Spotlight Seminar venue.

When can I confirm my travel and accommodation arrangements?

Once the event has received a sufficient number of participants the EAIE Office will contact all participants and inform them to confirm their travel and accommodation arrangements. The EAIE will do this at the latest six weeks before the start of the event.

I have registered but am unable to attend. Can I get a refund?

Please see our cancellation deadlines.

Is there a discount if more colleagues from the same institution attend?

No. The seminar participation fee is priced per person, and no discounts will be given for group bookings.

EAIE Membership

Do I have to be a member in order to attend the Spotlight Seminar?

No. Anyone can attend the Spotlight Seminar. However, EAIE members receive a significant discount on their fee. See more information and become a member to benefit from this discount.

My university is a member of the EAIE. Why do I not benefit from the member fee?

Membership to the EAIE is done on an individual basis and, therefore, does not apply to institutions. Only participants who are members of the EAIE themselves will be awarded the member fee.

Login and password

I have lost or forgotten my password. Should I create a new account?

No, it is not necessary to create a new account. Please visit this page to reset your password. If you are still experiencing difficulties please contact the EAIE Office and one of our staff members will reset your login details for you.

When do I need to create a new account?

In order to register for any EAIE event, become a member or join our mailing list, you will first need to create an account. You only need to do this once, so if you have attended an EAIE event in the past, or are currently on our mailing list, you will already have an account. If you have changed jobs, simply send us an e-mail with your new details – there is no need to create a new account. Please contact the EAIE Office if you have any questions.

Can the login and password info be used by more than one user?

No, EAIE accounts and membership  are on an individual basis and therefore all records in our database are individual records and linked to the information of one person.

Payment

How can I make my payment?

Payment is required online upon registration. Payment options: Visa, Mastercard and some Maestro. Payment by bank transfer is not possible for EAIE events.

What is included in the seminar fee?

How does the EAIE help with the EU staff mobility grants?

The EAIE can confirm your participation in the event and sign documents necessary for this confirmation. The grant application lies in the sole responsibility of the participants. We advise you to contact your university as well as your national agency for Erasmus + at an early stage. Find more information about EU staff mobility grants here.

Visas

Will the EAIE help me get a visa to participate in the seminar?

The EAIE will issue visa invitation letters to participants from countries requiring a visa to enter Germany, but only upon receipt of full payment of the registration fee. Please review our section on Visas.
