FAQ
- When do I need to create a new account?In order to register for any EAIE event, become a member or join our mailing list, you will first need to create an account. You only need to do this once, so if you have attended an EAIE event in the past, or are currently on our mailing list, you will already have an account. If you change employers, simply update your details on your existing account, there is no need to create a new one. Please contact the EAIE Office if you have any questions.
- Do I have to be a member in order to attend the conference?No. Anyone can attend the Annual EAIE Conference. However, EAIE members receive a significant discount on their conference fee. Become a member now.
- What is included in the conference fee?This depends on whether you are a participant, an exhibitor or a speaker. Please read the Fees & payment section for details.
- Is there a discount if more colleagues from the same institution attend?No. The conference participation fee is priced per person, and no discounts will be given for group bookings.
- My university is a member of the EAIE, why do I not have the member fee?Membership to the EAIE is done on an individual basis and, therefore, does not apply to institutions. Only participants who are members of the EAIE themselves will be awarded the member conference fee.
- Can I register on-site?On-site registration will be possible for an additional fee. Please note that there are two conference venues this year (CBS and Bella Center), which means on-site registration will only be available at the venue of that day. Be warned that queues and waiting times may be expected. See On-site registration for opening hours.
- I have registered but am unable to attend, can I get a refund?Please see our cancellation deadlines.
- I am an exhibitor, do I have to register?Yes, even though your exhibition booth has been booked, all exhibitor staff still need to register online. The reduced exhibitor’s fee (€ 390) only applies to online registrations before 26 August. Any on-site registrations will be charged the full fee (€ 870).
- I am an exhibitor; can I register for networking events?Yes. Exhibitors are welcome to register for any of the networking events taking place during the conference. Regular fees apply.
- I am a speaker; do I have to register for the conference?Yes. All speakers need to register for the conference, and will not be admitted unless they have been registered. Speakers have two options for registration: Speaker or Speaker Only (if only speaking in one session/workshop, no other participation). Kindly contact the EAIE Office prior to registration should you wish to register as a Speaker Only.
- I am a Chair; do I have to register for the conference?Yes. All Chairs need to register for the conference, and will not be admitted unless they have been registered. Chairs have two options for registration: Chair or Chair Only (if only chairing one session/workshop, no other participation). Kindly contact the EAIE Office prior to registration should you wish to register as a Chair Only.
- Will the EAIE help me get a visa to participate in the conference?The EAIE will issue visa invitation letters to participants from countries requiring a visa to enter Denmark, but only upon receipt of full payment of conference registration. Please review our section on Visas.
- My colleague registered but cannot attend and I would like to take their place. How do I arrange this?Transfer of registration is free of charge. You should notify the EAIE Office in writing at eaie@eaie.nl.
- Do I get a confirmation of my registration?Yes. A confirmation e-mail will be sent to you, which consists of an itemised list of all the activities for which you are registered. This is automatically sent to you when your registration has been processed by the EAIE Office. Please take this confirmation with you to the conference venue.
- When do I receive an invoice and when should I pay?We no longer issue invoices. Payment is required online upon registration. Payment options: Visa, Mastercard, American Express, Maestro.
- I cannot find my name on the electronic list of participants.The list is regularly updated, but the most likely reason is that your registration had not yet been processed when the last update was made. Please check again in a couple of days. If you registered on or around the ‘Early bird’ registration deadline of 30 June, it may take a little longer for your name to appear on the list as we process large numbers of registrations at that time.
- I would like my name removed from the electronic list of participants.Please contact the EAIE Office if you do not want your name on the electronic list of participants. Please be aware that this will exclude you from the final pdf list of participants as well as the AgendaBuilder.
- What should I do when I arrive at the conference venue?Go directly to the Registration area to pick up your registration envelope, which contains any tickets you have ordered, and your conference bag, which contains the detailed Conference Programme and other important information. If you have not yet registered, this can be done on-site, but you should be aware of queues if you choose this option. Please note that there are two conference venues this year (CBS and Bella Center), which means on-site registration will only be available at the venue of that day.
- Where can I find the latest programme information?You will receive your Conference Programme when you pick up your conference bag and badge on-site in Copenhagen. Please consult the website leading up to the conference to receive up-to-date programme information.
- Can I book a room for a meeting during the conference?Meeting rooms are not available at the Bella Center. Participants are asked to contact the Bella Sky hotel, located adjacent to the conference centre if they wish to book a meeting room.
- Are you selling discounted travel passes this year for public transportation?Yes. Be sure to purchase an EAIE Travel Pass – valid for all public transportation (trains, buses, metro and harbour buses) throughout Copenhagen. These special four-day Travel Passes (13–16 September) can be ordered through the online registration form at a reduced rate of € 22 and will be included in your conference envelope, to be picked up on-site. You can also purchase a Travel Pass on-site if you did not request one when registering.
