After 21 august you can only register and pay at the On-Site Registration and Payments Desk in Antwerp. On-site registration, and changes to your current registration are possible in Building D at the following times:

Get your badge at the Pre-Registration Desk
Registration will be held at the City Campus of the University of Antwerp, Building D, Grote Kauwenberg 18. Upon arrival, please go to the Pre-Registration Desk to collect your registration pack and most importantly, your name badge. You must have your name badge with you at all times for access to the conference facilities, including the exhibition, the sessions, and catering.

On-Site Registration and Payments Desk
If you want to register on-site in Antwerp instead of in advance via the EAIE website, please go to the On-Site Registration and Payments Desk in Building D. However, please note that registration on-line is cheaper (before the 'early bird' deadline) and it will save you time.

Please note that each Exhibition booth will receive one complimentary conference registration, which does not include fee-related special events, tours or accommodation. Exhibitors who are not registered as conference participants cannot attend any conference sessions, nor register for any seminars or workshops.

*Owing to the limited capacity of the venues, registration (at no charge) is required for the Opening Plenary and Reception; and the Closing Event and Reception. Only registered participants will have access to the Closing Event and Reception.

Reduced rate fee
(includes EAIE membership) If you are working in a country classified as a 'low-income economy' or 'lower-middle-income economy' by the World Bank , you may request registration as a reduced rate participant. The fee includes EAIE membership at the reduced rate of EUR 85! No further discounts are possible.

Payments
The EAIE Secretariat in Amsterdam only handles conference registrations, and does not deal with sightseeing tours or hotel reservations All payments made to the EAIE must be in euro (EUR). If you pay directly on-line via credit card you will receive an immediate EUR 5 discount. Otherwise, an invoice with payment instructions will be sent by e-mail separately. Payments should be made within 30 days of the invoice date and by 20 August 2008 at the latest. Please be advised that EAIE no longer has a current account with the Postbank. All payments should be made to EAIE's ABN-AMRO account as stated on the invoice.

Cancellations and refunds
Transfer of a registration to a colleague is free of charge, but must be requested in writing to the EAIE Secretariat at eaie@eaie.nl. If you cancel your registration, the following cancellation charges apply:

  • Cancellation on or before 20 June 2008: no charge
  • Cancellation from 21 June to 20 August 2008: EUR 50
  • Cancellation on or after 21 August 2008: full registration fee will be charged

Cancellations and requests for refunds must be made in writing to the EAIE Secretariat. If you have already paid your conference fee when you cancel, the EAIE will take the cancellation charge (if applicable) from your refund. If you have not yet paid your conference fee when you cancel, the EAIE will send you an invoice for the cancellation charge.

Visas
Please check if you require a visa, which can be obtained at the Belgian embassy or consulate in your country. To check if you need a visa, please visit www.diplomatie.be/en/travel/visa. Your embassy or consulate may require you to have an invitation letter before issuing a visa. The EAIE will only send invitation letters to those participants who have requested an invitation letter and paid the full registration fee before 20 June 2008. Please note that no exception is made in case your visa application was declined and you cancel your participation after the deadline of 21 August 2008. Please note that the EAIE does not give any further support in the visa application process other than an invitation letter. To obtain a visa remains the sole responsibility of the participant and s/he has to cover all costs resulting from the application process.
